Act Fast

The reception location should be immediately reserved. Popular venues can be booked up to two years in advance! So it really pays to act fast, particularly if your dates are not flexible.

Make a timeline. This should begin with the wedding date and track all the key tasks backwards to today’s date. This will show you not just what you need to do but by when.

Go firm on a budget before writing the guest list. This sounds a little cold but it is the only way to do it. If you invite 400 people the cost of catering alone is likely to be large, just $30 per head is nearly $13 000. The budget lets you know how many people you can invite, not the other way round.

Consider a coordinator for the big day. This is a thankless task of making sure that everything happens correctly and on time, you can get a friend or family member to do it but it will make their day significantly less enjoyable. This person should be brought in early on the planning process.

Go Easy on Bridesmaids

There is a temptation to get very excited about your bridesmaids – this should not lead to debt. Choose re-wearable dresses or arrange for them to be shortened afterwards as appropriate.

Children

Give thought to children: do you want them present on your big day? This has an impact not just on the wedding photo! but also on the willingness of parents to attend. Children should not be expected to behave like adults and will need something to do, somewhere appropriate to do it and maybe even some entertainment for everything to go smoothly.

Double up on flowers at both the church and reception. If the church requires that they are donated, no problem; simply ask to borrow them until the reception is over.

Food and Beverages

Free bars are great but promote overindulgence and are an uncontrollable cost. Cocktails are best served by professionals and beer and wine are always a safe bets. Champagne is great but only if you actually like it.

Ensure the caterer has some extra food. This will allow you to cater for accidents and maybe ensure the band and other temporary workers present get fed.

Early in the reception music should be loud enough to enjoy and dance to but your grandparents should still be able to have a chat. Later you can really start to party.
